Effective with the payroll period of 08/09/09 to 08/22/09, with a pay date of 08/28/09, all future payroll processing for Samuel Merritt University employees will be completed by the ABSMC (Alta Bates Summit Medical Center) Payroll Department.
Effective 08/15/09, please submit all timecards and other payroll documentation such as; W-4 forms, DE-4 forms, automatic payroll deposit forms, parking forms, college pledge forms, etc., directly to ABSMC.
The ABSMC Payroll Department is located on the fourth floor of Providence Pavilion (the elevators to the Payroll Department are near the 30th Street entrance). You will find two Locked and Secured receptacles located just outside the Payroll Office where you will deposit any and all payroll related documents. Please note; one receptacle is specifically labeled for “Timecards” and the other is labeled for “Other Payroll Documentation.”
For off-site or auxiliary operations submitting time cards / sheets, please use the following fax number to transmit them; (510.869.8286). This number is ONLY to be used in the transmission of time sheet(s)/ cards. The original document must be mailed as soon as possible to the ABSMC Payroll Department.
Because this transition effectively transfers ALL payroll related activities to ABSMC after the 15th of August, you will now be required to contact the ABSMC Payroll Office directly. This means that neither Karrie nor Corine will be able to provide any information related to ANY payroll issues. However, you will be able to contact and reach someone that will be able to assist you with your issue on the following main payroll number; 510.869.8280. There are two payroll technicians that have been specifically assigned to handle the SMU payroll related processes. They are Arlene Boller-Canes (Option 2) or Vicki Price (Option 5).
The paychecks issued by ABSMC are a self-mailer type. This means that the check information is sealed with tear off perforated edges. Additional changes to the information currently displayed on the SMU paycheck are not expected. However, the layout of the information will be modified. Pay dates and the distribution process will not change. Your method of payment of either automatic payroll deposit or physical check will not be impacted. Staff and faculty timecards will continue to be due the Friday preceding the last day of the pay period, although a reminder Email notice will no longer be sent. Student timecards will continue to be due to the Campus Service Center on the Thursday before the last day of the pay period. Employee reimbursement check requests will continue to be submitted to Corine Harris for processing and approval by our CFO, Greg Gingras. Reimbursements will be printed on a separate self-mailer from your wages.
Corine Harris will facilitate the transition of payroll processing to ABSMC by serving as the internal SMU resource for the processing of faculty payroll via FIA and for the validation of student timecards. Jamie Hirota will continue to be responsible for the faculty issues as before the transition. Student issues will continue through the Campus Service Center as the first point of contact.
We are excited that Karrie Cherry has accepted a position in Student Accounts. This means that she will not be involved with payroll processing after the payroll transition. Please congratulate her on her new milestone.
Lastly, please note that Samuel Merritt University benefits are not impacted by this transition.
