The process model is as follows:
- The current fiscal year Samuel Merritt University and Departmental Strategic Goals constitute the IT project portfolio.
- All project requests that are not reflected in the Strategic Goals need to be proposed through the organization Hierarchy for approval using the IT Technology Request Form.
- The Organization Hierarchy process is determined by your Division. All project or technology requests should be submitted to your immediate supervisor for review with the Department Director, Chair, Dean, or Program Supervisor prior to being submitted to the Division.
- Office of the President
- Project requests go to the President for initial approval
- Administrative Departments
- Project requests go to the VP of Administration/CFO for initial approval.
- Academics, Schools, and Faculty Initiatives
- Project requests go to the VPAA for initial approval.
- Enrollment and Student Services
- Project requests go to the VP Enrollment and Student Services for initial approval.
- Upon initial approval of a new technology request by senior management:
- The request is forwarded to Information Technology Services for analysis and formation of a project proposal in cooperation with the requester.
- Office of the President
- Project proposals go through the Technology Committee to the President for final approval and resource alignment including funding.
- Administrative Departments
- Project proposals go through the Technology Committee to the VP of Administration/CFO for final approval and resource alignment including funding.
- Academics, Schools, and Faculty Initiatives
- Project proposals go through the academic council and Technology Committee to VPAA for final approval and resource alignment including funding.
- Enrollment and Student Services
- Project proposals go through the Technology Committee to VPAA for final approval and resource alignment including funding.
- A project is a discrete work effort that requires more than 40 business hours to complete.

- All questions, disputes and exceptions should be reviewed with the Director, Information Technology.
- All new project requests need to follow this process.
- Work efforts under 40 business hours will be treated as Work Orders and fall in the category of support, maintenance, and minor enhancement requests.
