How Faculty Can Put Materials on Reserve

Procedure

Please review the following steps before submitting a request to put items on reserve:

  • The Put Materials on Reserve [1] form is for the use of faculty and instructors wishing to submit requests via the web for course materials to be put on reserve. A completed form must accompany all reserve items submitted.
  • Library staff will not update course bibliographies, provide photocopy services, or order personal copies of books. Instructors are responsible for gathering, photocopying, delivering, and maintaining required readings.
  • To assure that reserve items are available to students by the beginning of classes, the items submitted must be received 2 weeks prior to the beginning of the semester.
  • When preparing items for reserve, please review the Library's policy on Copyright Guidelines [2] and submit a hard copy of the Copyright Guidelines Acceptance [3] form to Huyen Ho [4] in the Library.

How to Put Materials on Reserve for a Course

  • Search SAMMY [6], the library catalog, to see if the Library owns the item.
  • Fill in all of the instructor and course information and select the appropriate semester and year. You must fill in the author and title fields.
  • You don't need to provide the call number if you're not certain of it. If the book or new edition is your personal copy, do not enter a call number.
  • Select a Material Type.
  • Please do not itemize individual articles.
  • When you are finished, click the "Submit reserve request to Library Staff" button, which will automatically send the form to Huyen Ho [7].

Copyright Compliance

The library complies with copyright and fair use guidelines. All photocopied items must comply with these guidelines in order to be placed on reserve. Please read the Copyright Guidelines [8] and Fair Use Guidelines [9] before submitting photocopied items. For each course with photocopied materials on reserve, please submit a signed Copyright Guidelines Acceptance [10] form to indicate that all copyright requirements have been met.

Required Readings

Reprints of articles and/or chapters are gathered together into one packet and filed by course number. To photocopy multiple copies of the required readings, please bring them to the Administrative Support Unit (ASU). The ASU will make copies according to their procedures. As a general rule, please make one copy of a packet for each ten students in the class. You do not need to itemize the individual articles on the Put Materials on Reserve [11] form. Submit a hard copy of the Put Materials on Reserve [12] form with the photocopied material to Huyen Ho [13].

Required Textbooks

The Library will purchase one copy of each major textbook for the reserve collection. Course instructors must request purchase of reserve textbooks no less than two months before they are expected to be on the shelf. Textbooks are placed on reserve as a convenience for students and are not intended as a substitute for the purchase of required books. Questions about the status of textbooks in the library or the Request Purchase of a Book/Journal [14] form can be addressed to Kristi Wessenberg [15] at 510-869-6833.

Personal Items

Faculty may place their own personal items such as books, kits, or videos on reserve. Please label personal property and specify if these items are to be for in-library use only. The library is not responsible for lost, stolen or damaged personal items.
